Project Execution & Deliverables 

  • Maintain project files, records and systems in line with project procedures and processes 

  • Maintain an efficient project-related document control register. 

  • Expedite the review and approval of documentation 

  • Supervise and record document flow to and from all necessary parties, including clients, sub-contractors and the Perth office.  

  • Issue and track location of all documents and drawings. Issue transmittal and receipts concerning the documents in circulation. 

  • Coordinate storage of project documentation 

  • Perform document control services on various projects in accordance with:  

  1. Worley document management systems, controls, processes and procedures;  

  1. Any project specific or other regulatory requirements.  

  • As required, receive, enter, transmit and file project documentation including Worley, client, vendor and third-party documentation.  

  • Check all received documentation is legible and contains appropriate approvals.  

  • Support other team members to balance workload.  

  • Assist with the improvement of project document control processes and procedures.  

  • Ensure all project documentation is processed, transmitted and filed in accordance with the relevant document management system, and can be retrieved in an accurate and timely manner.  

  • Produce and distribute status reports to the project team when required.  

  • Assist with the reproduction of documentation across different mediums.  

  • Ensure all current and relevant documentation is uploaded to project websites such as Microsoft SharePoint as required.  

  • Handover, closeout and archive project documentation on time and in accordance with project requirements. 

  • Project Set-Up (working with project management, system administration and project controllers to develop a project set-up that facilitates both internal and external Project Services requirements). 

  • Document Control (Incoming/Outgoing document registration & distribution, authorization-& correct procedure check for all outgoing doc’s, set-up and maintenance of master deliverable register, document archive/file management for hard-& soft copies). 

  • Interface Management (facilitating communication between and among Project-Managers, Discipline Leads, System Administrator and Project Controller) 

  • Project Updates (weekly progress reports and attending weekly departmental meetings). 

  • Quality Control (ensuring project document management & control is according to Project Services standards /specifications/procedures). 

  • Drawing/Document Numbering System (Management & Control of project specific document and drawing numbering system), revision control and housekeeping of database). 

  • Implement necessary processes and procedures required for setup and close out of projects. 

Job Specific Knowledge:  

  • A thorough knowledge of the codes and standards and a good understanding of onshore/offshore engineering practices applicable to oil and gas facilities.  

  • Must have excellent knowledge of Document Control procedures and functions. 

  • Proficient with project coding, dictionary requirements, filing structures, distribution matrices and project archiving.   

  • A good understanding of the supplier process including verification of data against PO’s and handover documentation. 

  • Experience with all aspects of Document Control (Including Design and Supplier data)  

  • Able to write and implement required processes and procedures. 

  • Knowledge of squad check and client review cycles. 

  • Knowledge of current document control standards. 

  • Knowledge of the vendor data processes

Industry Specific Experience:  

  • Must have a minimum of 12 years’ experience in Document & Data Management

IT Skills:  

  • Shall be expert on Computer operations and MS office Products like Excel, Word, Access etc. 

  • A concise understanding of Worley systems – Oracle (Time writing), EcoSys (Project Control), WPMP (Company standard processes and procedures). 

  • Familiar with Encompass, ASSAI and AIMS EDMS. 

People Skills:
